You create a new Shift Analyzer rule not on the Shift Analyzer screen but in TAA System Settings, as follows:
Note: For details on what the Shift Analyzer is designed for, go to What Is the Shift Analyzer?.
- Click
>> TAA System Settings.
The TAA System Settings screen will appear and show the Calculations tab.
- Click the Shift Analyzer Rules tab.
- Type a name for the new rule in the Shift Analyzer Rule Name field, such as Team-Building Event.
- Click the Shift Analyzer Rule Type drop-down arrow and select the type of rule. These are the three options:
- Carry Over: If there is less than a certain amount of time (such as one hour) between two shifts, the employee will get credit for that time as well as the actual hours worked.
- Check-In-Time: The employee will be given credit for extra time at the beginning or end of a particular kind of shift (such as 15 minutes for a field trip).
- Minimum Hours: The employee will receive credit for a minimum number of hours for a special event, such as two hours for a luncheon, even if the event is less than the set time.
- Carry Over: If there is less than a certain amount of time (such as one hour) between two shifts, the employee will get credit for that time as well as the actual hours worked.
- Click the Employee Types drop-down arrow and select the employee types the rule applies to.
You can select one or more types.
- Click the Job Types drop-down arrow and select the job types the rule applies to.
Again, you can choose one or more types.
- Click the Start Date calendar picker and select the beginning of the time range for the rule.
- Click the End Date calendar picker and select the end of the time period.
Note: You can leave the End Date field blank if there is no end date for the rule. - Follow the steps below for the rule type you are adding.
Carry Over
- In the Carry Over Less Than (Minutes) field, select the 0 and type the extra time in minutes (such as 60 for an hour in between the two shifts).
The Only Use First Shift to Determine Carry Over Job Type toggle is selected by default.
- Deselect this if you want to use the job type from an employee's preceding shift for the between shift as well (if that job type was one you selected in step 6 and therefore appears in the Carry Over Job Types list).
Leave the Only Use First Shift to Determine Carry Over Job Type toggle selected if you want to set a priority order for the job type to use, with the topmost type in the Carry Over Job Types list having top priority. (You can use the up and down arrows in the list to move the job types higher or lower in rank.)
Then specify what each job type for the preceding shift will lead to for the between-shift compensation.
For example, if you want a Regular Route job type shift to be followed by a Special Route job type, in the Carry Over Job Types list, specify Special Route in the drop-down list to the right of Regular Route.
- Skip down to step 10.
- In the Carry Over Less Than (Minutes) field, select the 0 and type the extra time in minutes (such as 60 for an hour in between the two shifts).
- Check-In-Time
- Click the System Shift Job Type drop-down arrow and select the job type that will be recorded for the extra time in the database.
Note: You might want to create a job type with the same name as the rule for this (see Configuring a New Job Type). - Under Day Range, click the Start Time time picker and select the earliest time of day this Check-In-Time rule can be applied. (Alternatively, you can select the default time value and type the new one.)
- Click the End Time time picker and select the last time of day this Check-In-Time rule can be applied. (Or select the default time value and type the new one.)
- Click the Start Time to Add System Shift time picker and select the hour of the day you'd like the time to appear on the employees' time cards.
- In the Minutes to Add field, select the 0 and type the amount of extra time to add to the shift, such as 15.
- In the Maximum Entries per Time of Day field, select the 0 and type the number of these entries that can appear on an employee's time card in a day, such as 1.
- Skip down to step 10.
- Click the System Shift Job Type drop-down arrow and select the job type that will be recorded for the extra time in the database.
- Minimum Hours
- Click the System Shift Job Type drop-down arrow and select the job type that will be recorded for the guaranteed time in the database.
Note: You might want to create a job type with the same name as the rule for this (see Configuring a New Job Type). - Under Day Range, click the Start Time time picker and select the earliest time of day this Minimum Hours rule can be applied. (Alternatively, you can select the default time value and type the new one.)
- Click the End Time time picker and select the last time of day this Minimum Hours rule can be applied. (Or select the default time value and type the new one.)
- Click the Start Time to Add System Shift time picker and select the hour of the day you'd like the time to appear on the employees' time cards.
- In the Minimum Time (Minutes) field, enter the minimum amount of time the employees will get paid for attending the event (in minutes, such as 240).
- Normally, you will leave Include System Scans in Analysis deselected; if you want scans to be part of the rule, you can or select it (
means selected, and
deselected.).
- Continue to step 10.
- Click the System Shift Job Type drop-down arrow and select the job type that will be recorded for the guaranteed time in the database.
- Click Add.
A success message will appear at the top-right of the screen, and the new rule will appear in the grid below the settings.
- You can click
to expand the rule and see its settings (and edit them, if needed).
Note: You can click(and select Yes in the Warning dialog box) to delete the rule.
- Go to Applying Shift Analyzer Rules to see how to use your rules to add shift hours for your employees.
