On the Service Schedule screen, you can schedule new services (such as Change Oil) by vehicle type so that the database can keep track of when required maintenance is due for your vehicles (and alert you ahead of time).


Note: If you have already created a service and want to use the same one for another vehicle type, you can duplicate the service. See Duplicating a Scheduled Service for the steps to do so.


To add a new scheduled service, follow these steps:


  1. Click  >> Service Schedule.
     
    The Service Schedule screen will appear.
      
  2. Click the vehicle type you want to create a new service for.

    Note: You can't create a service schedule for an individual vehicle — only for the type of vehicle, such as Truck or Bus. After you've added and synced the service, the service schedule will be implemented for all your trucks or buses (for example).


  3. Click  at the top right of the screen.
     
    "New Schedule" will appear under the vehicle type, and Properties fields will appear on the right.
      
  4. To use one of the provided service types, click the Service Type drop-down arrow and select it (such as Change Oil).
     
    Note: If the type of service you need to add doesn't appear in the list, you can add a new name as follows:
     
    1. Click  to the right of the Service Type field.
       
      The Add Service Type Name dialog box will appear, with "New Schedule" already selected.
        
    2. Type the name you would like to use for the service.
        
    3. Click Finish.
       
    4. Click the Service Type drop-down arrow again and select the new name you just added. (Note that your new service name won't appear in the drop-down list alphabetically immediately; it will be at the bottom of the list until you refresh the page.)

  5. Optionally, you can edit the name of the service as follows:
     
    1. Click to the right of .
       
      The Edit Service Type Name dialog box will appear, with the name already selected.
        
    2. Type the new service name.
       
    3. Click Finish.
       
  6. Specify a service interval using the Mileage, Engine Hours, or Days fields.
    Note: These are markers that indicate when the next service is due; so if you input 3000 for Mileage, the next service will be due after the vehicle has driven 3000 miles.
     
    Engine Hours is the number of hours the engine will run before the next service is due (such as 50 for 50 hours).
     
    Days is how many days before the service needs to be performed, such as 90.

    Only one of these three is required, but you can enter two or three values, according to your preferences. The Vehicle Maintenance Due alert will be sent out when the threshold for the first interval is reached for each vehicle of the type. (The alert needs to be set up first; see Setting Up the Vehicle Maintenance Alerts for the steps to do so.)
  7. Optionally, type a guess for the price of the service in the Estimated Cost field.
     
  8. Type a percentage value in the Alert Threshold field — for example, enter 10 for 10%.
    Note: This determines when the Vehicle Maintenance Due and Vehicle Maintenance Past Due alerts will be generated (if they are set up — see Setting Up the Vehicle Maintenance Alerts). It's a percentage of the interval values you entered; for example, if you entered 90 for the Days value and the Alert Threshold is 10%, the Vehicle Maintenance Due alert would be triggered 81 days after the service is synced to the vehicles (as 10% of 90 is 9, so you'll be alerted 9 days before it is due), and the Vehicle Maintenance Past Due alert would be triggered after 90 days.
  9. Click  at the top right.
    Warning: The service schedule won't do anything at this point; it just exists. For it to be applied to your vehicles, you must sync it (as described in the next step). Syncing will reset the service interval for all vehicles of the selected type. For example, if you set an interval of 90 days, the Sync button pushes today's date out as day 1.

    PRO TIP: In lieu of syncing the service schedule, if you have logs of when the maintenance was previously performed, you can import the data into the Synovia database, which will calculate when the services are next due for your vehicles based on those dates (and use them for your Vehicle Maintenance alerts). For details, see Importing Service Records.
  10. To apply the schedule to your vehicles (starting the service interval count at today), sync it one of the following ways:
     
  • To sync just one service schedule:
     
  1. Click the service type name under the vehicle type (if it's not already selected).
       
  2. Click  at the top right of the screen.
      
    A success message will appear, stating how many vehicles were synced to the service schedule.
     
     
  • To sync all the services you've set up for a vehicle type:
     
  1. Click the vehicle type name in the Service Schedule list.
       
  2. Click  at the top right of the screen.
     
    A Warning dialog box will appear, cautioning you that all service schedules for the vehicle type will be synced and that the process can take some time.


    Note: If a service schedule was previously synced for a vehicle, it will not be overwritten by the new sync. The syncing process searches the database for any vehicles that currently do not have a log for the service type.
  3. Click Yes.
      
    A success message will appear, stating how many vehicles were synced to the service schedule.
