The Vehicle Maintenance Due and Vehicle Maintenance Past Due alerts come prepackaged with Synovia. These alerts inform the appropriate people when a vehicle has a scheduled service that is coming up — or is past due — respectively. However, they require that you configure their settings so that the correct Synovia users are notified as needed. If you have scheduled a service, you are aware of the Alert Threshold value you set, which determines how long before the service is due the Vehicle Maintenance Due alert will be sent to the people it is assigned to (after the schedule is synced to your vehicles). On the day the service is due, the Vehicle Maintenance Past Due alert will go out.

To set up the Vehicle Maintenance Due and Vehicle Maintenance Past Due alerts, follow these steps:


  1. Click  >> Alert Admin.
     
    The Alert Admin screen will appear.
      
  2. Click  in the row of the Vehicle Maintenance Due alert.
      
    The Edit Vehicle Maintenance Due screen will appear.
     
       
  3. Click the Priority drop-down arrow and select the level of importance for this alert: Low, Medium, or High.
    Note: All three will include the alert in the list of alerts to be acknowledged. You can sort this list by priority level. (See Checking Your Current Alerts for details.)
    On the right are the days of the week the alert will be active.
     
  4. Keep the default selection of all days of the week.
     
  5. Keep the default Start Time and End Time settings as well (12:00 a.m. to 11:59 p.m — all day).
     
  6. Choose how people will be notified about the alert under Delivery, as follows:
     
    • SMS: Everyone with the selected role(s) will be texted.
       
    • Email: Everyone with the selected role(s) will be emailed the alert.
      Note: You can select both options or just one of them.
  7. Further down on the page (under Message), keep the alert message as is, which will send out "Maintenance due for vehicle X" for each vehicle when it reaches the alert threshold time set for each scheduled service (such as 10 days prior to its due date).
     
  8. You can ignore the Message Templates drop-down list.
     
  9. In the Roles area, click the selectors of the roles you want to receive the alert. ( means that is selected, and  deselected.) 
    Note: Most alerts are sent to the Administrator role (the default selection), but for the Vehicle Maintenance alerts, you may want to select Mechanic as well. (You can select multiple roles to receive the alert, as needed.)
  10. In the Groups area, leave All Vehicles selected, unless there are vehicle groups whose maintenance you don't need alerts for.
     
  11. You can ignore the Zones tab, which is used only if the alert applies to just certain zones in your area.
     
  12. If you have any users who shouldn't receive the alert, even if they are assigned the chosen role, or vehicles you don't want to set off the alert, you can add those by clicking the Exclusions tab and then following these steps:
    Note: If no exclusions are selected, the alert will be set off by all the vehicles that have a service coming due soon and will be received by all users with the specified roles.
      
    1. In the Users box, select the check boxes to the left of the usernames to exclude.
       
    2. In the Vehicles box, select the check boxes to the left of the vehicle numbers to exclude.
       
  13. Click  at the top right of the screen.
     
    You'll be returned to the Alert Admin screen, and an Items Saved message will appear at the top right.
     
  14. Click  in the row of the Vehicle Maintenance Past Due alert.
      
    The Edit Vehicle Maintenance Past Due screen will appear.
     
  15. Repeat steps 3 to 13, using the same settings.
