On the Attendance screen, you can track student bus-riding activity, including the students' names, when and where they scanned on and off, and their bus route information.


Note: You will only have the Attendance screen if your organization has the Student Ridership module. See An Introduction to Student Ridership for more information.

To view bus ridership attendance data, follow these steps:


  1. Click  >> Attendance.
     
    The Attendance screen will appear and list each student that scanned on a bus today.
      
    By default, the screen displays the scan data for all your itineraries (all of a bus's assigned routes for a day) and all the students who rode a bus up to this point of the current day.
    Note: If you want to see all the scans for all your routes, and if today's data is all you need, you can skip down to step 10. If you need data for all the routes but for a different date range, skip down to step 7.
  2. To limit the data to only certain itineraries, vehicles, schools, or drivers, click the Filters expansion arrow.
     
    The Filters drop-down box will appear.
     
     
  3. If you want only results for students with a Medicaid ID number (such as if you are preparing an export for Medicaid reimbursement), click the Only Show Students with a Medicaid Number on Record selector. ( means selected, and  deselected.)
     
  4. To display only specific student scans, click the Filter Category drop-down arrow and select Itineraries, Vehicles, Schools, or Drivers, depending on the data you want.
     
  5. Expand the tree on the List tab and select just the few itineraries (or other category) you need.
    Note: Alternatively, you can search for an individual itinerary, vehicle, school, or driver by clicking the Search tab, entering part of the name, and then selecting it from the drop-down list.
     
  6. Click Apply.
     
    The scan records for just the routes (or other category) you selected will appear.
     
    However, just the data for today will still be displayed.
     
  7. To change what date is shown (or to view a range of dates), click the From date picker and select the first date of the scan activity you need.
     
  8. Click the To date picker and select the last date.
     
  9. Click  at the top right.
     
    The scan records for the selected date range will appear. Each date's scan numbers will appear in its own column at the far right of the grid.

  11. You can change the settings as follows:
     
    1. Click  at the top right of screen.
       
      The Settings dialog box will appear.
        
    2. To change student names to being displayed last name first instead of the default view of First Name, Last Name, click the Lastname, Firstname radio button.
       
    3. If you'd like scan data to show a certain value instead of the number of scans in the specific date column, you can replace it by clicking the numeric value's selector, such as 3 Scans, and typing the value you want to appear instead in the field to its right, such as an X (for example, if you only want to see that a student did scan at least once on that day).
       
      The Generalize Data Field setting has a similar purpose. This is designed for customers who want any value in a column to be replaced wholesale with an indicator, for the purposes of showing if it has data (If Column Is NOT Empty, Show) versus when it doesn't (If Column Is Empty, Show). A common application is for the PIN column, which by default shows the date and time the driver entered their PIN on the mobile device terminal (MDT); often, values of "Signed" and "Not Signed" are used instead.
       
    4. To generalize data in this manner, follow these steps:
       
      1. Click the Generalize Data Field drop-down arrow and select the column whose data you want to replace with certain values in case they do and don't contain data.
        Note: Only columns that are currently being displayed appear in this list. To add a column, see Customizing Your Attendance Screen View.
      2. In the If Column Is Empty, Show field, type what you want to appear if there is no available data for it, such as "Not Signed" in the case of the PIN column, which would indicate that the driver didn't enter their PIN (as may be required for Medicaid reimbursement).
         
      3. In the If Column Is NOT Empty, Show field, type what you want to appear if the column does contain data, such as "Signed" in the example of the PIN column, which would indicate that the driver entered their PIN.
         
    5. Click Apply.
       
  12. You can export the grid data to PDF or Excel by clicking or , respectively, at the top right of the screen — for example, so that you can submit your route attendance data to an outside agency such as Medicaid for reimbursement purposes.
    Note: If you've filtered by category or modified what columns are displayed (and in what order), your layout changes will carry over to your exported file.
