You can substitute vehicles in CalAmp K-12 on the Substitutions screen if the vehicles can't perform their usual routes. Making this substitution keeps the route data current, even though the vehicle has changed, and reports the replacement's route information to Here Comes the Bus, if you have that add-on app. (See the Here Comes the Bus website and the Here Comes the Bus Help documentation for more information.)

To substitute one vehicle for another, follow these steps:


  1. Click  >> Substitutions.
     
    The Substitutions screen will appear and show only routes/tiers that are/were affected by substitutions for today.
      
  2. Click  at the top right of the screen.
     
    The Add Substitution screen will appear.
      
  3. Click the From date picker and select the first date of the substitution.
     
  4. Click the To date picker and select the last date of the substitution.
    Note: If the substitution is for just one day, select the same date.
  5. Optionally, you can select  at the top right of the screen to have only spare buses (buses without an assigned itinerary of their own) shown as the choices for the replacement bus (in the Target Vehicle list).
     
  6. Under Original Vehicle, click the Select Vehicle drop-down arrow.
     
    A list of all your buses with assigned itineraries will appear.
      
  7. Select the name of the vehicle that is currently assigned to run the route/tier/stop.
    Note: You can type part of the bus's name in the Select Vehicle field to limit the number of results and then click it in the shortened list.
    The bus's itinerary for the selected time frame will appear.
     
    Note: The value in parentheses to the right of a tier name is the number of stops it contains.
  8. As needed, expand the route(s) (by clicking the expansion arrow) until you reach the route/tier/stop you need to substitute another bus for.
    Note: One of the advantages of the new Substitutions screen over the old one is that you can enter just one stop to be substituted out; you don't have to replace an entire tier's stops.
  9. Under Target Vehicle, click the Select Vehicle drop-down arrow.
     
    A list of all your buses will appear (or just your spare buses if you performed step 5).
     
  10. Select the name of the vehicle that is taking over the responsibility of running the route/tier/stop.
     
    The bus's current itinerary for the selected day(s) will appear (if any).
      
  11. If more than one bus is to take over the routes/tiers/stops, you can click  to the right of the Target Vehicle's drop-down list and repeat steps 9 and 10.
     
  12. Repeat step 11 if you need to include even more substitute vehicles.
    Note: You can click  to the right of an added Select Vehicle drop-down list to remove it, if necessary. If you've already chosen a bus, you will be prompted with a warning dialog box; click Yes in that to eliminate the bus's route as a replacement target.
  13. If the replacement bus has its own itinerary, click the expansion arrow of the route/tier in which to place its new runs.
    Note: Each stop will have the time of day it is expected to be made, so you can expand the substitute vehicle's route until you reach the correct period of the day.
  14. In the original bus's itinerary, click the first route/tier/stop that needs a replacement vehicle.
     
    If you are adding individual stops, you can Ctrl+click to add multiple stops at once.
     
  15. In the target bus's itinerary, click the route/tier to which the run(s) will be added.
    Caution: Make sure to select the route or tier (or even itinerary) name, not an individual stop.
     
  16. Click  in between the two lists.
     
    The affected run(s) will be highlighted in a new color (that varies) in both lists. A new school or home stop may also be added.
     
  17. Repeat steps 14 through 16 for all the tiers and stops to be included in the substitution.
     
    In step 15, you can select a tier for a different bus on the Target side, if needed. (This will require scrolling down to the second vehicle you chose in step 11.)
    Note: If you add a stop or tier by mistake, you can select it in the Target Vehicle's list of runs and then click  to move it back to the source bus's route.
  18. After all the routes/tiers/stops that need to be moved from original buses to replacements are highlighted in the second color on both sides of the screen, click  at the top right of the screen.
    Caution: There is no confirmation dialog box. As soon as you click , the substitution is made in the database. To reverse the substitution, you'll need to edit it, as shown in Editing a Vehicle Substitution. (To revert to the original route in its entirety, and thus undo all changes in the substitution, you can select Reset to Original Plan when editing.)
    A "Substitutions added" message will appear at the top right of the screen.
     
  19. You can check the substitutions by scrolling down to the time of the tier/stop in both itineraries.
     
    It will still appear in both lists, but if it has been removed from the original tier,  will appear to the right of the tier/stop time (in the left list), and the tier/stop will be struck through.
     
    On the right,  will appear, indicating that the tier/stop has been added to the target vehicle's run.
     
    Modified runs in both lists will have an asterisk before the time.
     
    If you see  in the left list, this means that this is a school stop that had to be added (copied) to the target bus's route.
      
  20. You can click in the left list to see which bus has been substituted for the original;  in the right list will display which bus has been replaced.
