The Time and Attendance (TAA) Portal is a website (https://portal.synovia.com) where employees can obtain their time card data, clock in and out, approve their time cards, and request time off, depending on which options your TAA administrator has turned on. On the Portal/MDT Settings screen, you set options for both the TAA Portal and mobile data terminals (MDTs), including whether absence requests are allowed to be made from the portal, whether employees have to request time off in advance (and the number of days' notice required), whether employees can review their work on the portal, and whether clock-ins can be made only from certain IP addresses.

Note: If you are looking for the sections on the legacy TAA version of the Portal/MDT Settings page that enabled you to reset an employee's portal password and to determine which employee types could access the portal and MDTs, you will find the former on the individual employee's screen (see Changing an Employee's Clock-in Password) and the latter on TAA System Administration >> Employee Type Management.


Here is an explanation of what you can set:


  • Which ID to Use for Portal Login: Determines whether your employees will log in to the TAA Portal with their employee ID or punch ID. (For most customers, these are the same ID numbers, but some use differing ones.)
     
  • Default Job Type: Sets the job that is defaulted to when employees clock in using the TAA Portal. You click the drop-down arrow and select the job type from the list.
     
  • Require Auto Transfer When Clock-in from Kiosk?: Automatically transfers TAA Portal clock-ins to the vehicles, if you have your drivers clock in first at a portal kiosk and then in the vehicles. No time loss between "different" shifts will appear on their time cards.
     
  • Enable Punch Categories?: Enables the Punch Categories tab, on which you can add punch categories, such as Early, On Time, and Late. If your organization is using these, your employees will be prompted after clocking in via the MDT or portal to select a punch category.
     
  • Enable Locations?: Enables the Locations tab, which is designed to enable you to manage the locations where your employees work, including establishing a home workbase and the concept of being "on loan" to other sites (which will help with cost center reporting). For example, you might create locations such as "North," "East," and so on and require your drivers to select one of them when they clock in via the MDT or portal.
     
  • Enable Time Off Request?: Turns on the Request Time Off screen in the TAA Portal, on which employees can make an absence request.
     
  • Time Off Advance Notice Required?: Dictates that employees request time off in the portal with a certain amount of prior notice. If you select this, the counter control to the right becomes enabled, which you use to specify the required number of days' notice (by clicking the plus and minus signs).
     
  • Time Off Supervisor Email Notification?: Sends an email to an employee's supervisor when they request a day off.
     
  • Limit Time Off Request Duration?: Restricts the number of days an employee can request to take off. When this is selected, you specify the maximum number of days using the counter control.
     
  • Enable Review Past Work?: Turns on the Review Past Work screen in the TAA Portal, on which employees can see their earlier time card data.
     
  • Enable Display Current Work?: Turns on the Review Current Work screen in the TAA Portal, on which employees can see their current time card (and approve it if you have this option turned on).


After making any changes to the above settings, make sure that you click  at the top right of the screen to save them.
