A shift in Time and Attendance (TAA) is defined as a block of time worked, from the minute an employee clocks in to the time they clock out. You can make small changes to a shift (such as just correcting the punch-in or punch-out time) using the Quick Edit feature as follows:

  1. Click >> Time Cards.

    The Time Cards screen will appear and show the time card of the first employee in your organization, alphabetically.
     
  2. Select the employee's name at the top left of the screen, type part of the name of the worker whose time card you need to edit, and click the name in the short list that appears.
    Note: Alternatively, you can click the drop-down arrow to the right of the employee's name at the top left of the screen, scroll through the list, and select the name you want.
    Their time card will appear.
     
      
    By default, the current week's hours will be displayed.
     
  3. If you need to change a shift from an earlier week, click  to the right of Today at the top right of the time card as many times as necessary to find the correct time frame (or click the calendar picker and select a day within the week you want to view).
     
  4. Click the shift that needs edited.
     
    Two icons will appear at the top left of the shift.
       
  5. Click .
     
    The Quick Edit dialog box will appear.
      
  6. To change the clock-in time, click the Punch In time picker () and select the correct punch-in value.
     
  7. To change the clock-out time, click the Punch Out time picker and select the correct punch-out value.
     
  8. To remove the current clock-in or clock-out time, you can click  to the right of the Punch In or Punch Out time picker (and then add the correct time).
     
  9. You can change the shift hours to match the employee's FTE (full-time equivalent) value by clicking Sync to FTE. (For example, if their FTE value is 50%, and a full-day work shift is eight hours, this would make the shift exactly four hours.)
    Note: This option will close out the dialog box for you as well, completing the procedure.
  10. If your organization uses schedules, and this employee has one assigned, you can match the shift to the exact schedule hours by clicking Sync to Schedule.
    Note: This option also will close out the dialog box for you, completing the procedure.
  11. If you need to change the job type for the shift, click the Job Type drop-down arrow and select the new one.
     
  12. You can specify the vehicle being driven (if any) by clicking the Vehicle drop-down arrow and selecting it from the list.
     
  13. Optionally, type any comments you would like to include for the shift in the Notes field.
     
  14. Click Save.
     

    A message will appear saying that the shift changes were successfully saved.

Note: Any time a shift is edited, the change is recorded in the database, stating which user made the modification. Such user activity can be seen by running the TAA Audit Trail report (via Core >> Reports).
