If you need to change the name of a scheduled report to differentiate it from other schedules of the same report type, modify its timetable (such as when it will run or stop running), change who receives the report via email, or update its secure FTP settings, you can do so as follows:

Note: If you want to change the parameters of a scheduled report, you need to run a new version of it and create an entirely new schedule. (To rerun it, click the icon in its row on the Scheduled Reports screen and set your new parameters. See Scheduling a Report for the steps to schedule it. Then you can delete the originally scheduled report — or keep both versions.)

For details on the features of the Reports screen, go to Navigating the Reports Screen.

Caution: You will only be able to change a report's settings if you created the schedule yourself — or if your user role has the Scheduled Reports Admin privilege.

  1. Click  >> Reports.

    The Reports screen will appear.

  2. Click at the top right of the screen.

The Scheduled Reports screen will appear.

  3. Locate the row of the scheduled report you need to change. (You can sort or filter the Schedule Name column if necessary to find it, as shown in Sorting and Filtering Column Data.)

  4. Click  in the report's row.

The Schedule Report - Step 1 window will appear.

The report name will be selected.

  5. You can change its name by typing over the selected text in the Schedule Name field.

  6. If you need to change the hour of the day you want the report to run, click the Time time picker and select the new one.
Note: You also can select the time value and type the hour/minutes you want.
  7. In the Recurrence Pattern area, you can change how frequently the report will run — daily, weekly, monthly, or yearly — and the day(s) it will run (for example, Weekly on Thursdays).

In the Range of Recurrence section, if you select a different start date using the calendar picker, the scheduled report won't run again until that day has passed.

  8. If you need to change when the report will cease running, you can choose for it to never end (No End Date), to end after a certain number of times, or to end by a certain date.

  9. Click Next.

The Schedule Report - Step 2 window will appear.

  10. You can specify that the report appear only on the Scheduled Reports screen (by selecting Only Show in Scheduled Reports Screen), that it be emailed to specific users (by choosing the second option, Send Report in Email and Show in Scheduled Reports Screen), or that it be sent via secure FTP (by clicking the third option, Send Report via a Secure FTP Connection and Show in Scheduled Reports Screen).

If you chose the first option, skip down to step 13.

  11. If you select the second radio button, email options will appear in the window. Follow these steps to change them:

    1. To change whether the report is sent as a PDF or an Excel file, click the Format drop-down arrow and select PDF or Excel.

    2. To add an email recipient who is outside your organization, type their email address in the Add by Email field and click .

The email address will appear under Report Recipients.

    3. To stop current recipients from receiving the report via email, scroll to their names in the Report Recipients list and click their check boxes to select them.

    4. Click .

Their names will be removed from the Report Recipients list, and they will no longer be sent the scheduled report.

    5. To add recipients who are CalAmp K-12 users in your organization, scroll to their names in the Available Users list and click their check boxes to select them.

    6. Click .

Their names will appear in the Report Recipients list.

    7. Skip down to step 13.

  12. If you select the third radio button (Send Report via a Secure FTP Connection and Show in Scheduled Reports Screen), follow these steps to change the settings:

    1. To change whether the CSV file has a header row, click the Format drop-down arrow and select CSV - Header Row or CSV - No Header Row.

    2. To update the destination server information, select the DNS or IP address in the Remote Host field and type the new one.

    3. To change the port number, select the current one and type the replacement value.

    4. You can change the username and password to use for the connection by selecting their text and entering the new ones.
Note: If the first attempt to deliver the CSV file fails, CalAmp K-12 will try to send it again every 5 minutes, up until it succeeds or has tried for 25 minutes.
    5. To change whether an email notification is sent after a delivery attempt fails, either select or deselect Send Failure Notification. ( means selected, and  deselected.)

    6. If you selected Send Failure Notification, click the Wait to Send Failure Notification Email Until drop-down arrow and select after which attempt you'd like the email to be sent (after the initial failure or after one of the resend attempts).

    7. To update where a failure notification is sent, you can enter a new email address in the Send Failure Message to Address field.

  13. Click Schedule Report.

The report will now run according to your schedule, email recipient, and secure FTP settings changes.
