To schedule a report to run on a regular basis, follow these steps:


Note: For details on the features of the Reports screen, go to Navigating the Reports Screen.


Be aware that your user role will need to have Can View privileges for each report you want to run. (If you need to be able to run a report you don't have privileges for, contact your organization's CalAmp K-12 administrator.)


  1. Click  >> Reports.
     
    The Reports screen will appear and list the available reports by category on the left.
     
     
  2. Run the report you want to schedule, as shown in Running a Report, Running a Recent Report, Running a Favorite Report, or Running a Popular Report.
       
  3. Choose all the parameters you want to use every time the scheduled report will run (such as the vehicles).
       
  4. For the Date Range value, be sure to pick a common date range from the Quick Range drop-down list (such as Today, Yesterday, or Last Week).
    Note: You won't be able to schedule the report if you don't use a common date range — if you enter specific dates (such as 2/27 to 2/28). (If this was allowed, that scheduled report would always return the same days' information, which wouldn't be overly useful.)
  5. After you click , the report will run, and the results will appear.
     
     
  6. Click at the top right of the screen.
     
    The Schedule Report - Step 1 window will appear.

      
    The report name will be selected.
     
  7. Type a name to differentiate this scheduled report from others of the same type, such as Idle Daily Detail - Mondays for Last Week.
     
  8. Click the Time time picker and select the hour of the day you want the report to be run.
    Note: You also can select the time value and type the hour/minutes you want.
  9. In the Recurrence Pattern area, choose how frequently the report will run — daily, weekly, monthly, or yearly — and the day(s) it will run.
     
  10. Optionally, in the Range of Recurrence section, you can select a different day to begin the scheduled report (other than the default of today) using the Start Date calendar picker.
     
    You can also specify when you want this report to stop running at some future date: to never end (the default setting), to end after a certain number of times, or to end by a certain date.
     
  11. Click Next.
     
    The Schedule Report - Step 2 window will appear.
     
     
  12. If you want the report to appear only on the Scheduled Reports screen, leave the default selection of Only Show in Scheduled Reports Screen and skip down to step 15.
     
  13. If you want the report to be emailed to specific users (and shown on the Scheduled Reports screen, for both you and them), follow these steps:
     
    1. Select the second radio button, Send Report in Email and Show in Scheduled Reports Screen.
       
      Email options will appear in the window.
        
    2. If you want the report sent as an Excel file, click the Format drop-down arrow and select Excel.
       
      If you prefer a PDF, you can leave the default format.
       
    3. If you want to send the report to a user outside your organization, you can type their email address in the Add by Email field and then click .
       
      The email address will appear under Report Recipients.
       
    4. To send the report to users in your organization, scroll to their names in the Available Users list and click their check boxes to select them.
       
    5. Click .

      Their names will appear in the Report Recipients list.
      Note: If you add a user by mistake, you can remove them by selecting their check box under Report Recipients and clicking .
    6. Skip down to step 15.
       
  14. If you want the report to be sent as a CSV (comma-separated value) file via SFTP/FTPS (and shown on the Scheduled Reports screen), follow these steps:
     
    1. Select the third radio button, Send Report via a Secure FTP Connection and Show in Scheduled Reports Screen.
       
      Secure FTP options will appear in the window.
        
    2. Click the Format drop-down arrow and select if you'd like the CSV file to have a header row or no header row.
       
    3. In the Remote Host field, type the DNS or IP address of the destination server.
       
    4. Type the port number in the Port field.
      Note: You can leave this blank if you're using port 22.
    5. Type the username and password to use for the connection.
      Note: If the first attempt to deliver the CSV file fails, CalAmp K-12 will try to send it again every 5 minutes, up until it succeeds or has tried for 25 minutes.
    6. If you want an email notification to be sent after a delivery attempt fails, select Send Failure Notification. ( means selected, and  deselected.)
       
    7. Click the Wait to Send Failure Notification Email Until drop-down arrow and select after which attempt you'd like the email to be sent (after the initial failure or after one of the resend attempts).
       
    8. In the Send Failure Message to Address field, type the email address you'd like the failure notification to be sent to.
       
  15. Click Schedule Report.

    The report will now run according to your schedule, and you can check its details on the Scheduled Reports screen. (See Viewing Scheduled Reports.)
