You can fill out a vehicle inspection form by following these steps:


  1. Tap  at the top left of the screen.
    Note: If you are on certain screens (such as Vehicle Details), you'll need to tap Back first at the top left.
  2. Tap Inspections on the menu that appears.
     
    The Inspections screen will appear.
      
  3. Follow these steps to enter the vehicle you are inspecting:
    Note: If you logged in using a driver punch ID and are inspecting your assigned vehicle, the bus may have already been selected for you. (Its name will appear at the top left of the screen, and the available inspection forms will be listed onscreen.) If that's the case — or if you already have chosen the bus — you can skip down to step 4.
    1. Tap Change Vehicle.
       
      The Select Vehicle for Inspection screen will appear.
        
      By default, you'll search for the bus by vehicle name.
       
    2. If you need to search using the VIN (vehicle identification number) instead, tap VIN.
       
    3. If you want the search to return only vehicles that are near you, select Show Nearby Vehicles. ( means selected, and  deselected.)
       
    4. Type part of the name or VIN in the search field.
       
    5. Tap .
       
      Only vehicles that match your criteria will be returned.
        
    6. Tap  in the row of the bus you are inspecting.
       
      A confirmation dialog box will appear.
        
    7. Tap Yes.
       
      A list of the available inspections will appear.
       
      Note: You can tap  at the top right of the screen to download any new forms or template updates you need.
  4. Tap the name of the inspection form you need to complete.
     
    The form will appear.
      
    Each group will be expanded to display its items, indented beneath the group name.
     
    Required items will have * to the left of their names.
     
    If an item has any subitems (such as Belt/Hoses in the preceding figure), it will have  at the far right of its row.
     
  5. Tap the first item in the form.
     
    Pass/Fail items will look like this:
      
  6. If your physical inspection of the item shows that it's in good working order, tap Pass.
     
    If the item's condition is unacceptable, tap Fail.
     
  7. If you need to add a note about the item, follow these steps:
    Note: For example, you might need to include a note to explain why an item failed. Your note will be displayed on the CalAmp K-12 software's Inspection Results screen and in the Inspection reports. Notes for failed items will also appear on the Defect History screen and, if your school district has the Work Orders license enabled, in the new work orders and in the Work Orders reports.
    1. Tap Add Notes.
       
      The Notes dialog box will appear.
        
    2. Type your comment in the Notes field.
       
    3. Tap Save.
       
      Your note will be displayed in the Item Notes area.
       
      Note: You can tap to edit the text or  to delete it.
  8. You can add a picture of the item to the inspection form as follows:
    Note: The image will appear in CalAmp K-12 as an attachment on the Inspection Results screen, in the Inspection reports, and, for a failed item, in the Defect details box of Defect History.
    1. Tap Take Picture.
       
      Your camera app will launch.
      Note: Depending on the settings of your mobile device, you might need to give the app permission to use your camera first. The app will prompt you with an option to open your settings and do so if this is the case.
    2. Use your camera to take the photo.
       
      Your picture will appear in the Item Picture section.
       
      Note: You can tap to retake the photo or  to delete it.
  9. You can tap Next to move to the next inspection item without having to return to the list, even if the next item is a subitem.
     
    If you prefer to return to the list, you can tap Back at the top left and then select the item you want to inspect.
    Note: In the list view, will appear in the row for failed items, and  for passed ones.
     
  10. Inspect each item in the list and enter your findings.
    Note: If at some point you have to turn to another task, you don't need to worry about saving your form. You can leave it uncompleted and return to it later. To do so, first open the Inspections screen, tap the Sync tab, and tap the Incompleted Inspections to expand that section. Then tap  in the form's row to pick up where you left off.
     
  11. Follow these steps for an item that requires a value to be recorded, such as an odometer reading:
      
    1. Tap in the field that needs a value. (For example, in the preceding figure, tap in the Odometer box.)
       
      A keyboard or numeric keypad will appear, depending on the required data type.
       
    2. Type the needed text/number, such as the odometer reading in the vehicle.
       
    3. Tap Save.
       
      The value will be displayed in the field.
       
      Note: You can tap in the field and repeat steps b and c to change what you've entered.
  12. If the form has a date field, you can enter the day as follows:
      
    By default, the field will be prepopulated with the current day.
     
    1. To keep today's date, just tap Close.
       
    2. To change it, tap the date.
       
      Controls to change the date value will appear.
        
    3. To change the month, tap and drag the current month entered, stopping on the one you need.
       
    4. To change the day, tap and drag the current day value, stopping on the one you need.
       
    5. To change the year, tap and drag the year shown until it reaches the one you want.
       
    6. Tap the red Close.
       
      The new date will be displayed in the field.
       
    7. Tap the blue Close.
      Note: Date/time fields work similarly but also include controls to tap and drag the hour, minute, and a.m./p.m. selections.
  13. If the form has a field in which you need to draw something with a stylus or finger, such as a Signature field, you can fill it in as follows:
      
    1. Tap in the drawing box.
       
      The Signature dialog box will appear (and may be displayed rotated, depending on your device).
        
    2. Use your stylus or finger to write your signature.
       
    3. Tap Save.
      Note: You can tap Reset to clear the field (and then make your drawing again).
      Your drawing will be displayed in the field.
       
      Note: You can tap to redo your drawing or  to delete it.
    4. Tap Close.
       
  14. After you have inspected each item on the list (and entered all the needed information), tap Done at the bottom of the screen.
    Note: The Done button will be grayed out if you haven't filled out all the required items.
    Note: If you failed an item that makes the vehicle undrivable, the following warning will appear.
      
    You can tap No and Cancel to return to the form.
     
    You can tap Yes and Continue to go ahead and submit your inspection results. Make sure to follow whatever procedure your school district mandates when a bus is considered undrivable.
    You will be asked to certify your inspection.
      
  15. If all is complete and accurate, tap Yes.
     
    If you need to complete anything, tap No and then Cancel to return to the list of items.
     
    After you tap Yes, you'll be presented with options to send the report now or later.
      
  16. Select Send Inspection Report to send the report immediately.
     
    Select I'll Send It Later to save the form to send at a more convenient time (such as when your cellular coverage is better).
    SENDING PREVIOUSLY COMPLETED INSPECTION FORMS

    You can send forms to dispatch you've saved for later by following these steps:

     
    1. Tap  at the top left of the screen.
      Note: If you are on certain screens (such as Vehicle Details), you'll need to tap Back first at the top left.
    2. Tap Inspections on the menu that appears.
       
      The Inspections screen will appear.
        
    3. Tap Sync.
       
      The Sync tab will appear.
        
    4. Tap the Ready for Upload .
       
      The section will be expanded, and you'll see forms you completed previously but didn't submit.
        
    5. In the row of the inspection form you want to upload, tap .
      Note: You can tap  to delete the form.
      A confirmation dialog box will be displayed.
        
    6. Tap Yes.
       
      The form will be uploaded to dispatch and will no longer be shown in the Ready for Upload list.
       
    7. Repeat steps e and f for all the inspections you want to submit.
