When an employee is added to Time and Attendance (TAA), through your nightly import of data from your payroll company or manually (if you are a customer who doesn't use imports), they are required to be assigned to a department. All your employees MUST belong to a department in order to have their data recorded by TAA. This is especially important if your payroll system uses departments to compensate your workers.


Most TAA customers cannot manually change these department assignments themselves; instead, employee profile modifications (including the departments they belong to, provided that department mapping has taken place) are entered into your payroll system, and then the records will be updated in TAA when the employee data file is next imported.


Note: The setup for the import of the file provided by your payroll company is part of the TAA implementation process. Departments are manually added, but employee department assignments may be mapped to be included with the imported data.

If you are one of the few Synovia customers who do NOT have employee records imported from your payroll system, you can manually assign employees to departments as follows:


Warning: If your employee records ARE imported and you have department assignments mapped from that import, and if you change employees' departments via the steps below, you'll find after your next import that your modifications never happened, as the imported employee file overwrote all your employee data. If you use an import with mapped departments, you MUST instead edit the employee profiles by providing their new department assignments to your payroll company.


  1. Click  >> Departments.
     
    The Departments screen will appear.
      
  2. Expand the parent department(s) containing the child department you want to assign the employee to.
    Warning: You must choose a subdepartment. You cannot assign employees to parent departments; only child departments can have employees assigned to them.
  3. To the left of the child department's name, click .
     
    The Assign Employees to Department screen will be displayed.
     
    Note: The employees who aren't assigned to the department will appear on the right, in the Out of Department grid, as well as their current department allocation.
  4. In the Out of Department list, click the check boxes to the left of the employee names you want to assign to the department.
     
  5. Click .
     
    The employees you selected will appear in the In Department list.
    Note: If you need to remove employees you added, select their check boxes in the In Department list and click . They'll be assigned once again to their previous department.
  6. Click  at the top right of the screen.
     
    A success message will appear, and you'll be returned to the Departments page.
