A shift in Time and Attendance (TAA) is defined as a block of time worked, from the minute an employee clocks in to the time they clock out. If an employee has a shift of work on the clock that needs to be split into two different job types — for example, one portion driving a regular route and another driving a field trip, you can split the shift as follows:


  1. Click >> Time Cards.

    The Time Cards screen will appear and show the time card of the first employee in your organization, alphabetically.
     
  2. Select the employee's name at the top left of the screen, type part of the name of the worker whose shift you need to split, and click the name in the short list that appears.
    Note: Alternatively, you can click the drop-down arrow to the right of the employee's name at the top left of the screen, scroll through the list, and select the name you want.
    Their time card will appear.
     
      
    By default, the current week's hours will be displayed.
     
  3. If you need to split a shift from an earlier week, click  to the right of Today at the top right of the time card as many times as necessary to find the correct time frame (or click the calendar picker and select a day within the week you want to view).
     
  4. Double-click the shift that needs to be split into two job types.
     
    The Editing Time Card screen will appear.
       
    The shift you selected will be expanded in the Shifts History area, with the Edit Shift tab displayed.
     
  5. Click the Split Shift tab.
      
  6. Under Split on Time, click the Time time picker () and select the time the shift should be split — in other words, when the first shift with the first job type should end.
    Note: If the minute value doesn't fall on a quarter hour, you can first choose the closest time with the time picker and then select the time value and type over it.
  7. Under First Shift, click the Job Type drop-down arrow and select the job type for the first shift.
    Note: If you can't choose the job type you need, select Show All Job Types above the Job Type drop-down list. ( means selected, and  deselected.) All the available types will appear in the list.
  8. You can specify the vehicle that was driven (if any) for the first shift by clicking the Choose Vehicle drop-down arrow under its job type and selecting the vehicle name from the list.
     
  9. Under Second Shift, click the Job Type drop-down arrow and select the job type for the second shift.
     
  10. You can specify the vehicle that was driven (if any) for the second shift by clicking the Choose Vehicle drop-down arrow under its job type and selecting the vehicle name from the list.
     
  11. Click Split Shift.
     

    A message will appear saying that the shift was successfully split.
     
  12. You can return to the time card if needed by clicking  at the top right of the screen.

Note: Any time a shift is edited, the change is recorded in the database, stating which user made the modification. Such user activity can be seen by running the TAA Audit Trail report (via Core >> Reports).
