A shift in Time and Attendance (TAA) is defined as a block of time worked, from the minute an employee clocks in to the time they clock out. You can add a shift if needed — for example, if an employee forgot to punch in and out.

To add a shift for an employee, follow these steps:


  1. Click >> Time Cards.

    The Time Cards screen will appear and show the time card of the first employee in your organization, alphabetically.
     
  2. Select the employee's name at the top left of the screen, type part of the name of the worker you need to add a shift for, and click the name in the short list that appears.
    Note: Alternatively, you can click the drop-down arrow to the right of the employee's name at the top left of the screen, scroll through the list, and select the name you want.
    Their time card will appear.
     
      
    By default, the current week's hours will be displayed.
     
  3. If you need to add a shift for an earlier week, click  to the right of Today at the top right of the time card as many times as necessary to find the correct time frame (or click the calendar picker and select a day within the week you want to view).
     
  4. Double-click any hour on the time card of the day that needs a shift added.
     
    The Editing Time Card screen will appear.
       
  5. In the Add Shift area, click the Start time picker () and select the punch-in value.
     
    Note: A driver's work is linked to their vehicle's activity and appears in the GPS Reference Data grid, so you might be able to use the actual driving hours recorded by the GPS device when adding their shift. (You may need to click at the top right of the screen for the data to load.) For example, to set the Punch In time, select the correct row in the GPS Reference Data grid and then click the Fill from GPS button () to the right of the Start field and icons. You can do the same for the Punch Out time (using  to the right of the End field and icons).
  6. Click the End time picker and select the punch-out value.
     
  7. Click the Job Type drop-down arrow and select the job the employee was performing for the shift.
    Note: If you can't choose the job type you need, select Show All Job Types above the Job Type drop-down list. ( means selected, and  deselected.) All the available types will appear in the list.
  8. You can specify the vehicle that was driven (if any) by clicking the Choose Vehicle drop-down arrow and selecting it from the list.
     
  9. You can enter a route ID, if needed, by typing it in the Route ID field.
     
  10. Optionally, type any comments you would like to include for the shift in the Notes field.
     
  11. Click Add Shift.
     

    A message will be displayed saying that the shift was successfully created, and the hours will appear in the Shifts History area.
     
  12. You can return to the time card if needed by clicking  at the top right of the screen.

Note: Any time a shift is added, the addition is recorded in the database, stating which user created the shift. Such user activity can be seen by running the TAA Audit Trail report (via Core >> Reports).
