While using the Work Monitor in Synovia to make sure that every driver is covering their routes, you can mark employees as absent — and enter a substitute driver in the process.


Note: The Work Monitor is available only if your organization has the TAA module, which enables you to track your employees' time, collecting data to help you manage clock-ins, work activities, time cards, absences, overtime, reports, and payroll integration. For more details about the Work Monitor, see Using the Work Monitor.


To enter an absence record for a driver and, if the data is available, report which driver will be performing their route instead, follow these steps:


  1. In Synovia, click >> Work Monitor.
     

    The Work Monitor will appear.
      
  2. Perform steps 2 to 7 in Using the Work Monitor to display the department containing the employee you want to mark as absent.
     
      
  3. Locate the driver's row, filtering by the column head if needed. (See Sorting and Filtering Column Data for details.)
     
  4. Right-click their row and select Check Driver In / Enter Absence.
       
    The Manual Employee Entry dialog box will appear.
       
  5. Click the Absent tab.
     
      
  6. Click the Absence Type drop-down arrow and select the type of absence, such as Sick Leave.
     
  7. Click the Time Frame drop-down arrow and select how much of the day the employee will be out, such as Full Day or Half Day - AM.
     
  8. To use the current date for the absence, leave the Start Date and End Date fields as they are.
     
    To enter different dates, use the calendar pickers to choose the days.
     
  9. Optionally, click the Job Types drop-down arrow and select the job type the driver was assigned to (so that the shift type you need to cover will be included in the grid data).
    Note: Only TAA job types that are applicable to the driver's TAA employee type (as designated within TAA) will appear in the list.
  10. If you know what driver will take over the route the absent employee was supposed to drive, type their name (or part of it) in the Substitute field and select it from the drop-down list that appears.
    Note: Entering the substitute driver is highly recommended, as their name will appear in the Sub Driver column and inform others who is covering the route.
  11. Optionally, if you have any information to add, such as the reason the driver gave for the absence, you can enter it in the Notes field.
     
  12. Click Add.
     
    A success message will appear at the top right of the screen, but the employee's row won't change to dark gray (indicating an absent driver) until the data is refreshed.
    Note: You can refresh the screen immediately by clicking at the top right.
