To add a role to Synovia, you have two options: duplicating (and modifying) an existing role or creating a new one from scratch. Duplicating a role is recommended because it is faster, but either method will work. Both are covered below, in separate sections.


Duplicating a Role


First, find a role whose privileges are similar to those of the new role you need to add. Then follow these steps:


  1. Click  >> Roles.
     
  2. On the Roles screen, click  to the left of the role you want to duplicate.
     
    The Duplicate Role screen will appear.
         
  3. Select the original role's name in the Name box and type the new role's name.
     
    By default, the Synovia screen privileges are displayed first. The Name column lists all the screens you can access in Synovia.
     
  4. To allow the role to just view a particular screen, click its selector under Can View. ( means that is selected, and  deselected.)
     
  5. To allow the role to make changes to a screen, click its selector under Can Edit.
     
  6. To remove a View or Edit privilege, click to deselect its selector.
     
    If you have purchased the Time and Attendance (TAA) module, the next tab will be TAA Screens. If you don't have TAA, skip down to step 9.
     
  7. To assign the role's TAA screen rights, click TAA Screens.
      
  8. Repeat steps 4 through 6 for the TAA screen View and Edit rights you want to give the role.
     
  9. To assign what Synovia reports the role is allowed to run, click the Synovia Fleet Reports tab.
     
    This Name list shows the available Synovia reports.
         
  10. To allow the role to view a report, click its selector under Can View.
     
  11. Click to deselect any reports you don't want the role to be able to run.
     
    If you have the TAA module, the next tab will be TAA Reports. If you don't have TAA, skip down to step 14.
     
  12. To assign what TAA reports the role is allowed to use, click the TAA Reports tab.
      
  13. Repeat steps 10 and 11 for the TAA report rights you want to give the role.
     
  14. To assign any additional privileges applicable to your Synovia fleet (such as the ability to bulk upload entities), click the Synovia Fleet Privileges tab.
         
  15. To allow the role to perform any of the special privileges, click the selectors under Enabled.
     
  16. Click to deselect any activity you don't want the role to be able to access.
     
    If you have the TAA module, the next tab will be TAA Privileges, which includes any extra privileges that didn't fit on the previous TAA tabs. (Think of this as a Miscellaneous TAA Privileges tab.) If you don't have TAA, skip down to step 20.
     
  17. To assign special rights to the role, click the TAA Privileges tab.
      
  18. To allow the role to perform any of the extra TAA privileges, click the selectors under Enabled.
     
  19. Click to deselect any TAA activity you don't want the role to be able to access.
     
  20. When you are finished assigning privileges, click  at the top right of the screen.
     
    You'll be returned to the Roles screen, and your new role will appear in the list.


Creating a New Role from Scratch


Note: Again, you may find it simpler instead to duplicate a role, as shown in the preceding section.


To build a completely new role from the ground up, follow these steps:


  1. Click  >> Roles.
     
  2. On the Roles screen, click  at the top right of the screen.
     
    The Add New Role screen will appear.
         
  3. Type the new role's name in the Name box.
     
    By default, the Synovia screen privileges are displayed first. The Name column lists all the screens you can access in Synovia.
     
  4. To allow the role to just view a particular screen, click its selector under Can View. ( means that is selected, and  deselected.)
     
  5. To allow the role to make changes to a screen, click its selector under Can Edit.
